From CRM Integrations (Follow Up Boss, GoHighLevel, CINC, Lofty, BoldTrail):

• Contact name (first and last name)
• Email address
• Phone number
• Contact tags, stage, and source
• Notes and activity data

From Facebook Lead Ads:

• Contact name (first and last name)
• Email address
• Phone number
• City, state, and zip code
• Responses to custom lead form questions

From Your Account:

• Your name and email address
• Facebook user name and page information (for integration purposes)
• Calendar availability (for appointment booking)

From Zoom Integration:

• Zoom user email address
• Zoom meeting IDs and join URLs (generated when appointments are booked)
• We do NOT access Zoom recordings, chat messages, or meeting participants

Generated by Our Service:

• Call recordings and AI-generated transcripts
• AI call summaries and sentiment analysis
• Call duration, outcome, and performance metrics

How We Use Your Information

We use the information collected to:

• Import leads from your CRM and advertising platforms into the Katherine AI platform
• Make automated voice calls to qualify leads and book appointments
• Route leads to AI calling agents based on your configured lead flow rules
• Assign leads to campaigns, team members, or pipeline stages
• Sync call outcomes, tags, and notes back to your CRM
• Book appointments on your connected calendar
• Provide analytics and reporting on call performance
• Improve our services and user experience

Data Storage and Security

Your data is stored securely using industry-standard practices:

• All data is encrypted at rest and in transit (TLS 1.2+)
• Database hosted on Supabase (PostgreSQL) with row-level security policies
• Access to your data is restricted to your account and authorized team members
• Role-based access controls limit who can view and modify data within your organization

Data Sharing

We do not sell, rent, or share your personal information with third parties for marketing purposes. We may share data with:

• Service providers who assist in operating our platform, including:
  • Supabase (database hosting)
  • RevRing AI (voice calling infrastructure)
  • Vercel (application hosting)
  • Stripe (payment processing)
  • Zoom Video Communications (meeting creation via API)
• Your connected services — data is synced back to your CRM and calendar as configured by you
• Law enforcement or regulatory bodies when required by applicable law

Third-Party Integrations

Katherine AI connects to third-party services at your direction. When you connect a CRM or lead source:

• We only access data you authorize through the OAuth consent flow
• You can disconnect any integration at any time from Settings → Integrations
• Disconnecting an integration stops all future data syncing
• We do not retain access tokens after disconnection

When you connect your Zoom account, Katherine AI creates Zoom meetings on your behalf when appointments are booked by our AI agents. We only use the meeting:write and user:read scopes. We do not access your Zoom recordings, chat messages, or other Zoom data. You can disconnect Zoom at any time from Settings → Integrations.

Your Rights

You have the right to:

• Access the data we hold about you
• Correct inaccurate data through your dashboard or by contacting us
• Delete your data (see our Data Deletion page)
• Disconnect any integration at any time through Katherine AI settings
• Export your contact data via CSV export
• Restrict processing by pausing campaigns or disconnecting integrations
• Revoke Zoom access by disconnecting the integration in Katherine AI settings or from your Zoom account at zoom.us/profile

Children's Privacy

Katherine AI is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page and updating the “Last Updated” date.
